Step 1: Study the Professional Development Request Agent

The employee provides: employee details; course title and provider; dates; cost; course outline; explanation of work relevance; and supervisor approval.

The agent should: check completeness, request missing information, retrieve the approved policy, check eligibility and budget, prepare an evidence-based recommendation, and route it to an authorized human reviewer.

The agent must not: approve or reject requests, commit funds, register employees, or delete official records.

Key point: The Instructions section is the agent's operating manual. It must define the role, goal, scope, inputs, approved knowledge, workflow, permissions, guardrails, human review, output format, and final check.

Activity 6

Build a UAEU Website Monitoring Agent

Create a safe agent that identifies meaningful updates on approved UAEU public pages.

30 minutes
Objective: Create a ChatGPT Agent that monitors the official UAEU website, identifies meaningful updates, and produces a notification summary.
Scenario: Employees check the UAEU website for announcements, training opportunities, conferences and events, registration dates, application and submission deadlines, policies and guides, service changes, forms, and documents.

Approved website: https://www.uaeu.ac.ae/
The agent may follow public pages linked from the UAEU website, but it must remain within the official uaeu.ac.ae domain.

Step 1: Create the Agent

  1. Open the university's ChatGPT Edu workspace.
  2. Select Agents, then Create Agent.
  3. Enter the following request in the conversational builder.

Do not configure the automation until the agent passes all tests.

  1. Open the created agent.
  2. Select Automations, then Add new automation.
  3. Set the schedule time and enter the instruction below.

Final learning comments: Schedule → Visit the UAEU website → Retrieve information → Compare with the baseline → Decide → Notify if changed → Save the new baseline.

The agent runs at the scheduled time rather than continuously. To send emails, the ChatGPT Edu administrator must enable Workspace Agents, an approved Gmail or Outlook Email app, end-user authentication, and the Create Draft and Send Email actions while keeping unnecessary actions disabled. If the connector is read-only, the agent can prepare an email but cannot send it. An agent's capabilities are controlled by both its instructions and its system permissions.
